To create a new Resource record, click the Resource Management | View | New Resource button.

Asset Placer | Resource Management | View | New Resource

A Resource is a person or physical asset that is booked out in Asset Placer. Depending on your business type, you may refer to these as Employees, Technicians, Operatives, Staff or other human (or non-human) asset.

To create a New Resource click the Resource Management tab at the top of the screen and in the View page click the green New location button.

The following New Resource screen will open to allow you to enter the relevant details. Note that options indicated with an asterisk are mandatory.

The displayed screen has six tabs at the top: Main Details, Contact Details, Miscellaneous Details, Attachments, Skill Type and Availability. New Resources can be entered by just filling in the mandatory fields on the Main Details tab, however it is recommended that as much information as possible is added in the other tabs sections to improve the usability and reporting functions of Asset Placer.

 

Main Details

Select the Territory and the Region for the Location from the drop down box and allocate a Code. Codes are manually set and would usually follow an agreed format to be defined by your particular businesses ways of working. If you are unsure what Code to enter, then ask your Line Manager for advice.

Select a Resource Type from the drop down box; this is usually the role (for example Nurse, Plumber or Driver) of the Resource, or it could be a type of product (for example car, computer hardware or electric generator) and then type in the Name (mandatory), address, contact and Resource Since Date details.

The On Hold option is frequently used when a Resource is first added to Asset Placer if you are awaiting necessary documentation before the Resource can work (for example their DBS or qualification certificate fi they are a human Resource or PAT or service testing certificate for non-human Resource). The Resource can be put On Hold until the documentation has been checked initially and/or when it needs to be renewed.

Once you have double checked the information is correct you can click the submit button at the end of the stage to save the Resource and close the screen. If you want to add additional information select one of the other tabs.

 

Contact Details

Asset Placer | Resource Management | View | New Resource | Contact tab

On this screen you can enter the details of two Contacts in case of emergencies.

Select the Submit button to save the Resource or you can move to the next tab to enter more information.

 

Miscellaneous Details

This screen allows you to enter details of the company including:
* Gender – this may be important where Placement requests can occasionally have specific Gender requirements (such as the Care industry).
* Date of Birth – this may be important where Placement requests can occasionally have age requirements (such as bar or door person work).
* Student (Yes / No) – indicates whether the Resource is currently studying and so subject to a limited number of hours they may work per week.
* Student Hours – if the Resource is a Student, then the number of hours per week that they are permitted to work.
* Notes – any other miscellaneous information on the Location which you want to record.
* Has Own Transport – whether the Resource has access to a vehicle to make their own way to Placements.
* Drivers License Number – DVLA reference number which may be import in industries such as taxi firms
* National Insurance Number – the Resource government registration number to ensure that the National Insurance contributions and tax made from their pay is recorded (assuming that they are a business) or other relevant reference to your usage of Asset Placer.
* Website & Other URL – the Resources website address and any other relevant internet address.

Select the Submit button to save the Resource or you can move to the next tab to enter more information.

 

Attachments

In this section you can save documents that related to the Resource, for example scans of their DBS certificate, driving license, passport or contract for human Resource and appropriate technical specification or certification for non-human Resource. Skill Types

This is the type of knowledge, qualification, skills or abilities that a Resource is trained to work with. The Skill Type features are covered in more detail in the Asset Placer | Resource Management | View | Resource Skill Types Article here.

 

Availability

In this section you can record when a Resources is typically able to fulfil different Placement Types. The Availability features are covered in more detail in the Asset Placer | Resource Management | View | Resource Availability Article here.

 

All the sections of the New Resource have now been completed and you can now submit the record. Once you have double checked the information is correct you can click the green Submit button to save the Resource and return to the Resource Management View page. The Resource will now be displayed in the View Resources grid.
